Position Description Serves as the principal clerical and administrative support position to an administrative officer. This title is restricted for use in the office of a Dean, Associate Vice Chancellor/Associate Vice President, Vice Provost, or an administrative officer reporting directly to the Chancellor/President. Performs responsible and complex administrative support or technical program assistance work. Work is performed under general supervision from the administrator. Direct supervision of subordinate personnel may be included in the job responsibilities.
Principal administrative support for Dean of Students, Director for Center of Campus Life, and the Associate Vice Provost for Student Affairs including maintaining schedules and calendars, document typing, filing, use of multiple databases, finance and travel assistance, human resource requirements, and overall clerical support.
Assuming considerable responsibility for office management, including support of the various areas and departments affiliated with Dean of Students, Director for Center of Campus Life, and the Associate Vice Provost for Student Affairs (i.e. budget/finance, travel assistance, and procurement).
Responsibilities include co-supervision of student assistants and their schedule, supply management, and technology/office equipment maintenance.
Works in coordination with the Administrator for Undergraduate Education & Student Affairs in completion of specific projects and overall Division support.
Providing the highest quality customer service, including answering the telephone, greeting visitors, and assistance with overall front line services; providing "last stop" information to callers and visitors of the University.
Assist the Dean of Students and Assistant Dean of Students with functions of the Behavioral Intervention Team by responding to phone, written, and walk-in inquiries related to students of concern. Position assists with the triage of student concerns and assignment to staff depending on the nature of the issue. Communication via email and phone will be necessary to academic units and other departments related to the identification resources and processes to resolve student concerns.
Demonstrated ability to work effectively with students, faculty, staff, and guest while providing the highest quality customer service, work ethic, and attitude.
Accounting experience working with multiple budgets.
Proven experience in administrative support roles, organizational skills and ability to coordinate work with others.
Ability to work independently and show initiative.
Excellent communication skills (written and verbal).
Knowledge of Microsoft Outlook, Excel, Word; Banner Student; TTU Human Resources, Procurement, and Travel systems.
Knowledge of the various departments and processes related to administrative support roles and student concerns at Texas Tech University.
Required Qualifications Bachelor's degree in clerical/administrative area. Two years progressively responsible administrative or related experience, including one-year supervisory experience. Additional job related experience may substitute for required education on a year-for-year basis.
