Position Description Coordinates a section in a department that has institutional oversight responsibilities. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program or departmental project as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and/or students.
Major/Essential Functions Coordinate and disseminate information. Communicate effectively, orally and in writing. Communicate with representatives from the Attorney General's office regarding lawsuits and legal issues.
Assimilate information and prepare regular reports for Regents' meetings and year-end reports. Maintain confidential records and files, regarding clients, faculty, staff, employees, personnel, payroll, etc.
Supervise Administrative Assistant, law clerks, and legal externs. Maintain effective and open communication with co-workers. Retrieve and prepare necessary files, etc., that attorneys may need for meetings, phone calls, etc.
Interface with various HSC departments to maintain office machines and property, maintaining business relationships. (TTUHSC IT, TTUHSC IT Security, Safety Services, TTU System, TTU System IT, TTUHSC El Paso, Plant Operations, HR, Finance, administration, etc.)
Create ePAFs, and assist with the ePM system. Work with HR and employees regarding Leaves of Absence and any other HR/Employee issues. Request checks and Employee One Time Payments. Maintain communications with TTU System office regarding staying within the annual budget.
Retrieve Operating Policies and statutes for attorneys when needed. Conduct research independently, compile and interpret reports, charts, and forms. Adapt to changes in work flow and volume, is flexible in dealing with a myriad of different topics/events.
Assist in preparing and editing legal documents, letters, indexes, files regarding Litigation, Civil Rights, AG's office, EEOC, and research. Assist with preservation of documents and litigation hold (departmentally and IT Security) regarding legal matters.
Work in Texas Tech Careers Applicant Tracking System to create job requisitions, manage candidates, prepare background check , on-boarding paperwork, I-9/everify, position description, closing, and final disposition of remaining candidates.
Maintain inventory and order office supplies as needed. Maintain TTU/TTUHSC P- cards, reconciling monthly; prepare reports, and attend training when necessary. Arrange travel, prepare documents/receipts and submit travel reports for reimbursements.
Transcribe dictated documents. Process and distribute mail. Process incoming subpoenas. Process and log closed/completed files for archives. Scan files into Xtender. Have a working knowledge of Microsoft programs.
Provide excellent client service. Answer telephones, screen and route calls, take detailed messages, and follow up when needed. Calendar appointments, meetings, and deadlines as needed. Direct walk-ins to attorney or make appointments if necessary.
Hire date will be on or after September 1, 2017.
Required Qualifications Bachelors degree plus two (2) years related experience; OR a combination of education and/or related experience to equal six (6) years.
Individual will provide good communication skills, get along well with the public, and have law office experience.

Pay Statement Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan.
